The Role


To provide a competent Secretarial Service to a Head of Dept/direct reports within Managed Shared Services customer base.

The post holder will be required to work flexibly, as a mobile resource as and when required, in an office environment.

It may be necessary to assist, cover for, or move into other Secretarial roles, from time to time.

Key Accountabilities

Act as first point of contact for any queries (in person or telephone) - Dealing with issues yourself and delegating to appropriate manager/s where possible.

Keep abreast of delegated actions where necessary, maintaining good contacts with internal and external customers.

Diary Management - Organise internal and external Meetings / Conferences / Visits, ensuring the Managers electronic diary is up to date and accurate at all times forward plan the diary to cover future requirements.

Mail Management - Organise, prioritise, delegation (where appropriate) and distribution of mail (electronic or paper).

Chasing and Monitoring of Actions - Manage and Monitor Managers Actions, using ‘action tracking database’, keeping manager updated with progress on a regular and timely basis.

Act as Meeting Secretary to Department (or alternatively agreed meetings) - Attend meetings and take minutes / actions. Monitor actions. Ensure all meeting associated documents are distributed on time.

Co-ordination of Travel Arrangements - Arrange travel and accommodation as necessary, in line with the Company travel process, ensuring that Managers are fully aware of arrangements.

Typing - Production of documents with confidentiality and a high degree of accuracy, speed and efficiency following Company templates

Administrative Duties - Filing / Photocopying / Stationery / Annual Leave Database etc as necessary, creating/maintaining efficient electronic / paper filing systems.

Provide secretarial cover for Managers as required by the business (including Directors) during periods of absence.

Key Requirements

GCSE Grade C or above in Maths, English & Science (Or I.T) or equivalent


Excellent planning and organisational skills

Excellent communication skills (written and verbal)

Self-Motivated (able to work unsupervised and on own initiative)

Ability to prioritise own workload, with attention to detail and timescales

Good understanding of company policies and procedures

Excellent IT skills (knowledge of MS Office suite).
